Kompass

Governance that runs itself inside Microsoft 365

Kompass embeds structure, ownership, and lifecycle control directly into SharePoint — so governance becomes part of daily work, not a separate process.

Built for organizations where governance is critical — not optional.

The governance problem most organizations face

Most organizations don't fail at governance because they lack policies, standards, or intentions.
They fail because governance becomes manual work inside SharePoint.

Do these symptoms look familiar?

Documents exist, but no one is sure which version applies

Ownership is defined on paper, but not enforced in practice

Metadata exists, but isn't consistently used

Navigation doesn't reflect how the organization actually works

Review cycles and approvals are difficult to maintain

Permissions are risky or overly complex

Search returns "everything" — and therefore nothing useful

Over time, information spreads, structure erodes, and governance becomes something teams work around instead of with.

Kompass exists to change that.

Without Kompass

  • Documents scattered across disconnected libraries
  • Ownership defined on paper, not enforced
  • Manual review cycles and follow-ups
  • Navigation that doesn't match operations
  • Search returns everything — and nothing useful

With Kompass

  • Every document connected to its process and owner
  • Ownership drives permissions automatically
  • Lifecycle rules run without manual work
  • Process-based navigation that reflects reality
  • Structured search that surfaces what matters

How Kompass works

Kompass operationalizes governance by connecting processes, documents, ownership, and navigation into one coherent structure inside Microsoft 365.

Instead of governance living in policies and guidelines, it becomes part of everyday work.

At the core of Kompass is a process-driven model where:

Processes define structure

Ownership drives permissions and responsibility

Documents are always connected to context

Lifecycle rules are enforced automatically

This makes governance repeatable, scalable, and sustainable over time.

Three steps to embedded governance

1

Define

Map your processes and assign ownership

2

Connect

Link documents, metadata, and navigation

3

Automate

Governance runs automatically from day one

What Kompass includes

Process-based structure

Every document, page, and owner connects back to a process. Managed metadata creates a single source of truth — no more scattered information across disconnected libraries.

Automatic document headers

Version numbers, approval status, and process information — populated automatically in Word and Excel. No manual header management, no inconsistencies.

Navigation that reflects reality

Process navigation that loads fast and works on any device. Kompass includes a custom Visio-based component that renders operational process charts directly inside SharePoint pages.

  • Loads fast with optimized rendering
  • Works responsively across devices
  • Integrates seamlessly into SharePoint pages
  • Reflects real operational processes

Document lifecycle management

Review cycles, approvals, and archiving — handled automatically. Lifecycle rules run without manual follow-up.

  • Review periods with automated reminders
  • Approval flows tied to process ownership
  • Archiving and lifecycle control

Search and AI-assisted discovery

Structured governance makes search meaningful — and makes AI tools like Microsoft 365 Copilot far more effective.

  • Find the right document, not just any document
  • Understand what applies in context
  • Ask questions against governed information
  • Get accurate results from Microsoft 365 Copilot

Without structure, AI amplifies chaos. With Kompass, AI amplifies clarity.

Ownership-driven permissions

The right people get the right access — automatically. Permissions follow process ownership, and documents open read-only by default to prevent accidental changes.

Implementation and lifecycle

Kompass is hosted centrally in Azure using a multi-tenant architecture. All customers receive updates continuously, ensuring improvements and fixes are delivered consistently over time.

The SharePoint SPFx components are deployed per tenant, supported by an automated pipeline that ensures synchronized updates across customers.

Kompass can be installed by experienced Microsoft 365 teams internally.

In practice, most organizations choose onboarding support to ensure that structure, ownership, and governance models are set up correctly from the start.

This approach reduces long-term friction and avoids rework.

Who Kompass is for

Kompass is designed for organizations that:

  • Rely heavily on Microsoft 365 and SharePoint
  • Need a real management system — not just document storage
  • Operate in regulated or governance-critical environments
  • Have tried building internal systems and struggled to maintain them
  • Want governance that actually survives daily operations

Kompass may not be the right fit for:

  • A lightweight document library
  • A purely manual governance approach
  • A short-term workaround
